CRITICAL RISKS
Stone order not issued — flooring can't start ~1 Apr. Entire sequence shifts. July 25 at risk.
Cabinetry drawings not ready by 25 Mar — carpentry can't start ~17 Apr. Site not ready for Keyur Bhai. July 25 blown.
Keyur Bhai not available from ~25 May — finishing plaster can't start. Furniture squeezed. July 25 at risk.
TRG roof delayed — rooms unprotected, interior work can't proceed.
Carpentry vendor not identified by 30 Mar — ~1 month lead time even with drawings.
No Build Integration function — systemic cause of repeated procurement errors.
CAN WE MAKE JULY 25?
YES — IF:
Stone order by 11 Mar · TRG roof starts ~18 Mar, done ~2 Apr · ALL cabinetry drawings by 25 Mar · Carpentry vendor by 30 Mar · Flooring starts ~1 Apr, done ~15 May · Keyur Bhai arrives ~25 May · Finishing plaster + furniture overlap works · ZERO further slippage
NO — IF:
Stone order delayed another week · Drawings slip past 25 Mar · Any trade takes longer than planned · Keyur Bhai can't come until June · Monsoon disrupts finishing plaster · Room handover sequence breaks down · Any single additional delay
NEAR-ZERO BUFFER. Plan works only if every date is hit from here.
Open Questions
# Question Why It Matters Owner
A Stone work order: issued? Vendor + delivery schedule confirmed? Without this, flooring start ~1 Apr is dead Clive / Akshay
B Rishi's Sam visit debrief: what was approved 26 Feb? What's open? Defines which actions are unlocked Rishi
C Cabinetry drawings: is Sam's team on track for 25 Mar? Blocks carpentry + May readiness Sam / Rishi
D Carpentry vendor: who is executing? Source identified? Need confirmed vendor + work order by 30 Mar Rishi
E Keyur Bhai: confirmed availability from ~25 May? His arrival = finishing plaster starts Akshay
F STP / pool pump room: OC required? Can we engage Aga? Long-lead if OC needed Rishi / Akshay
G Build Integration role: any progress? Root cause of repeated procurement errors Akshay
H Landscape concept from Louis: engaged? Install window ~25 Apr – 25 May Rishi / Vrinda

Strategy: Why Siolim Is the Showcase
WHAT MAKES THIS PERFECT
Construction license in hand — no permission delays
Owner buy-in confirmed — just need budget + plan submitted
Clean slate — can demonstrate the full 4-lane operating model from day 1
Parallel execution — design continues while Phase 1 builds, proving the overlap model works
EXECUTION STRATEGY
Phase 1 runs with minimal design — excavation + foundation needs only structural + site plan
Full design develops in parallel — architecture, interiors, MEP, material selection all happening while ground breaks
BOQ builds incrementally — Phase 1 costed now, full budget consolidated by May
15 months start-to-finish — aggressive but achievable if every phase starts on time with zero gaps between
Risks + Decisions Needed
RISKS
Monsoon overlap (Jun–Sep) — Phase 2 structure work during monsoon; need weather mitigation plan
Design not ready for Phase 2 start — if full drawings aren't done by Jun, superstructure delays
15 months is aggressive — any phase slip cascades; zero buffer between phases
Team bandwidth — running 4 projects simultaneously; Siolim needs dedicated DI + BI attention
IMMEDIATE DECISIONS
DI Lead: Vrinda confirmed — ensure bandwidth across Loutolim + Siolim + Bambolim
BI Lead: Rishi confirmed — coordinate with Aadi Villa BI workload
Structural consultant confirmed? — foundation drawings needed by Mar 25
Architect confirmed? — parallel design development starts now
Site PM for execution? — who manages the contractor on ground
Immediate Next Actions
1
Submit excavation + foundation budget to owners
THIS WEEK — owners are ready, just need the document
2
Assign DI + BI leads for Siolim
This is the showcase — needs best people from day 1
3
Confirm structural + architecture consultants
Foundation drawings by Mar 25; parallel design starts immediately
4
Get earthwork contractor quotes + select vendor
By Apr 1 — excavation must start immediately after owner approval
5
Set up project cadence — weekly stand-up from week 1
Prove the operating model works from the very first meeting

Area Statement Summary
Parameter Value Notes
Total site area 17,500 sqm 3 survey numbers combined
CRZ area 4,330 sqm No permanent construction. Gardens, open areas, temporary structures only
Effective area (FAR permissible) 13,730 sqm 17,500 – 4,330 + adjustments = 13,730
Available FAR 10,500 sqm Total buildable floor area across all development
Development zone S23 + S29/2 ~14,650–15,150 sqm land area → apartments + gardens
Clubhouse zone S29/1 2,950 sqm → clubhouse + sports + F&B + membership
Concept Brief
RESIDENTIAL — Apartment Complex
Beautiful apartment complex on Survey 23 + 29/2. Design-forward residential with generous gardens and open spaces. The ~1 acre CRZ zone becomes a feature — lush gardens, walking paths, and open-air amenity areas that no competitor can replicate (because they don't have CRZ land).
Key questions for feasibility: Unit mix (1BHK/2BHK/3BHK), number of floors, parking ratio, apartment sizes, price positioning, target buyer profile.
CLUBHOUSE — Membership Model
Standalone clubhouse on Survey 29/1, open to residents AND external members. Revenue stream independent of apartment sales.
padel courts pickleball courts gym swimming pool restaurants bakery cafe rooftop bar

Risks + Decisions + Next Actions
RISKS
CRZ boundaries not confirmed — could affect buildable area calculations
Landowner rejects concept — wasted design effort; need to understand his priorities early
FAR calculations wrong — verify with local authority before committing to unit counts
Clubhouse program too ambitious for 2,950 sqm — padel + pickleball + pool + gym + F&B may not fit
DECISIONS NEEDED
Apartment market positioning — luxury vs mid-premium vs affordable premium?
Unit mix — ratio of 1BHK/2BHK/3BHK; affects FAR allocation
Clubhouse: all sports or phased? — can we fit everything in 2,950 sqm? What gets cut?
CRZ temporary structures — what's actually allowed? Gazebos, pergolas, event spaces?
Revenue model for clubhouse — membership pricing, resident vs external split
NEXT ACTIONS

Reusable structure for any new Solarpunk Futures project

How This Dashboard Works

1. Project Master Plan (Collective)

Akshay, Rishi, Vrinda, Saurab sit together to define: objectives, phases, timelines, and dependencies. This is NOT any single department's job — it's a collective exercise.

2. Objectives → Department Mapping

Each objective gets mapped to which departments are involved and what each department's responsibility is (the Objective × Department Matrix).

3. Department Lanes

Each department (DI, BI, Site, PM) owns their lane. They break their responsibilities into tasks with: consultant/vendor, status, dates needed, and dependencies.

4. Consultant Tracker

Every consultant/vendor tracked with: what's needed from them, by when, current status, and which department is coordinating.

Department Responsibilities (Standard)

Design Integration (DI)
  • Coordinate ALL consultant inputs (architecture, structural, MEP, landscape)
  • Track drawings: what's needed, from whom, by when
  • File organisation, folder structure, version management
  • Communication hub between consultants and internal team
  • Ensure information flows to Build Integration on time
  • Manage submission drawings and approvals
Build Integration (BI)
  • Vendor quotations + comparative analysis
  • BOQ preparation + material procurement
  • Shop drawings coordination
  • Method statements + execution sequencing
  • Quality checklists + review gates
  • De-risking: material availability, lead times, alternates
Site Management (SM)
  • Site mobilisation (labour, equipment, temporary facilities)
  • Construction execution + daily progress
  • Labour contractor management
  • Quality control on-site
  • Safety and compliance
  • Storage, access, and logistics
Project Management (PM)
  • Master plan: objectives, timelines, phases (collective)
  • Statutory permissions + approvals
  • Budget tracking + cost control
  • Weekly cadence: review meetings, decision gates
  • Risk register + dependency tracking
  • Stakeholder communication

Key Principle: Systems > Heroics

The goal is to reduce "WhatsApp chaos" by creating structured execution packages. Each objective should have: scope, drawings list, BOQ/estimates, method statements, checklists, and review gates.

Design Integration owns the coordination — not the execution. Their job is to make sure everyone knows what's required of them and when. Whether DI does it themselves or delegates is a bandwidth question, not a role question.

Project Master Plan is collective. DI doesn't set timelines alone. The core team (Akshay, Rishi, Vrinda, Saurab) defines the master plan together. Once set, each department knows their lane and pushes forward.
